What Does an MSP Actually Do? A Plain-English Answer

What does an MSP do? Plain-English guide to Managed Service Providers for small business owners. Learn what to expect, what to pay, and how to evaluate quality.

If you have ever searched for IT help, you have probably seen the term “MSP” or “Managed Service Provider.” The term is industry jargon, and it does not do a great job of explaining what we actually do.

Let me fix that.

The Simple Explanation

An MSP is a company that manages your technology on an ongoing basis. Instead of calling someone when something breaks (the “break-fix” model), you pay a monthly fee and the MSP takes care of your IT proactively — monitoring, maintaining, securing, and supporting your systems before problems become emergencies.

Think of it like the difference between going to the doctor only when you are sick versus having a doctor who sees you regularly, runs preventive tests, and catches problems early.

What a Good MSP Should Provide

  • 24/7 monitoring. Someone (or something) is watching your systems around the clock. When a hard drive starts failing, when a backup does not complete, when unusual network activity occurs — you want to know before it becomes a problem.
  • Patch management. Keeping your operating systems and applications updated with security patches. This is boring, essential work that prevents most cyberattacks.
  • Security management. Firewall configuration, antivirus/EDR, email filtering, MFA setup, and security awareness training. Cybersecurity is not a product — it is an ongoing practice.
  • Help desk support. When your team has a technology problem, they call or email and get help. Good response times and competent technicians make a big difference in daily productivity.
  • Backup and disaster recovery. Regular, monitored, tested backups with a clear plan for restoring operations if the worst happens.
  • Strategic guidance. Technology planning, budgeting, and recommendations. Your MSP should be helping you make smart technology decisions, not just keeping the lights on.

How Pricing Works

Most MSPs charge a flat monthly rate based on how many people and devices are covered and which services apply, rather than billing per ticket — so the cost is predictable and everything listed above is included. Compare that to the cost of hiring even one full-time IT person (salary, benefits, training, tools) and the math usually favors an MSP for businesses under 100 employees.

What that rate should be depends enough on your environment that a number quoted in a blog post would be misleading. It is a conversation worth having properly.
