Most business owners hire an IT provider and hope for the best. You are not an IT expert — that is why you hired one. But how do you know if they are actually doing a good job?

Here are five signs that your IT provider might not be meeting the standard your business deserves.

1. You Only Hear from Them When Something Breaks

A good IT provider is proactive. They reach out to you with reports, recommendations, and updates — not just when something is on fire. If the only time you hear from your IT company is when you call them with a problem, they are being reactive. That means problems are happening that could have been prevented.

2. The Same Issues Keep Happening

If your team keeps reporting the same problems — slow computers, email issues, printer failures, network drops — and your IT provider keeps “fixing” them without addressing the root cause, something is wrong. Good IT support solves problems permanently, not temporarily.

3. They Cannot Produce Documentation

Ask your IT provider for documentation of your network. If they cannot produce a current network diagram, a list of your hardware and software, and an inventory of your user accounts and access permissions, they are not managing your environment properly. Documentation is not optional — it is the foundation of competent IT management.

4. They Do Not Talk About Security

If your IT provider has never brought up cybersecurity, backup testing, or compliance with you, they are either not thinking about it or assuming someone else is handling it. Either way, your business is at risk. Security should be a regular part of every IT conversation, not an afterthought.

5. You Feel Like You Are Managing Them

You hired an IT provider so you would not have to think about technology. If you find yourself tracking tickets, following up on outstanding issues, or reminding them about things they promised to do, the relationship is backwards. Your IT provider should be managing your technology proactively, not waiting for you to tell them what to do.

What to Do About It

If any of these signs resonate, it does not necessarily mean you need to switch providers immediately. Start with a conversation. Share your concerns specifically and see how they respond. A good provider will take the feedback seriously and make changes.

But if the conversation does not lead to improvement, it might be time to evaluate your options. The right IT partner should feel like an extension of your team — someone who understands your business, anticipates your needs, and communicates clearly.
